Executive Assistant to the CEO

Full-Time | Remote Flexibility Available

We’re currently seeking a versatile and motivated Executive Assistant to support our CEO and leadership team by handling a wide range of business and administrative tasks that are critical to our day-to-day operations.

Role Overview

This position plays a vital part in keeping our executive leadership organized, informed, and prepared. The Executive Assistant will help manage schedules, streamline internal workflows, coordinate team efforts, and serve as a trusted liaison across departments and with external partners.

Primary Responsibilities

  • Manage and prioritize executive schedules, appointments, and meeting logistics
  • Prepare internal and external communications, reports, and materials with accuracy and confidentiality
  • Organize virtual and in-person meetings, track deliverables, and follow up on action items
  • Coordinate business travel, agendas, and supporting documentation as needed
  • Assist with drafting presentations, gathering data, and formatting reports
  • Monitor communication on behalf of the CEO, ensuring timely responses and appropriate follow-ups
  • Support leadership planning and documentation, including project updates and team meeting summaries
  • Maintain organized digital files, records, and workflow tools
  • Assist with intellectual property documentation and renewals (e.g., trademarks, copyrights)

What We’re Looking For

  • Bachelor’s degree or equivalent practical experience
  • 2–3+ years supporting senior executives in an administrative or operational role
  • Exceptional organizational and time-management skills
  • Excellent writing, proofreading, and verbal communication abilities
  • Ability to adapt quickly, manage shifting priorities, and work independently
  • High level of integrity and discretion when handling sensitive information
  • Confidence using digital tools like Microsoft Office, Google Workspace, Canva, Dropbox, or similar platforms
  • Positive attitude, solution-oriented mindset, and strong interpersonal skills
