Job Description

We are seeking a highly skilled and proactive Executive Administrative Assistant to provide comprehensive support to the founding partner of a private investment firm in Dallas.

This role blends high-level administrative duties with strategic project execution, requiring sound judgment, exceptional organizational skills, and a strong sense of discretion. The ideal candidate will act as a gatekeeper, project manager, and trusted liaison—ensuring the executive’s time is maximized and the team’s operations run seamlessly.

This role is 100% on-site in our client's office in Uptown Dallas.

Key Responsibilities:

  • Manage complex calendars, schedule appointments, meetings, and conference calls for the executive, optimizing priorities and business objectives.
  • Monitor, organize, and manage the executive’s inbox and email folders, including drafting replies.
  • Coordinate all domestic and international travel, including private jet bookings, detailed itineraries, and ongoing travel log maintenance.
  • Review and reconcile travel invoices and credit card statements; prepare accurate expense reports.
  • Handle incoming communications (calls, mail, email) and assess significance for appropriate distribution.
  • Maintain strict confidentiality of all corporate, executive, personnel, and business information.
  • Act as a liaison between the executive, internal staff, and external partners and stakeholders.
  • Define, lead, and complete a variety of high-impact projects supporting the business as requested.
  • Plan team events that promote engagement, camaraderie, and a positive firm culture, occasionally involving family members or significant others.
  • File and retrieve corporate documents, records, and reports efficiently.
  • Conduct research to support correspondence, memos, and communications initiated by the executive.
  • Work as a team with other Executive Assistants to provide backup reception coverage during break periods as needed.

Qualifications:

  • Bachelor’s degree from an accredited four-year university REQUIRED
  • Minimum ten years’ experience supporting a CEO, CFO, or other C-Suite executive; prior experience in private equity or financial services a plus
  • Proven global travel coordination experience, including private aviation
  • Exceptional project management and organizational skills with a track record of independently leading initiatives
  • Advanced proficiency in Microsoft Office, Concur, and Slack, with the ability to learn new software systems as required for the role
  • Strong written and verbal communication skills; ability to compose professional correspondence
  • High emotional intelligence, discretion, and ability to mirror executive availability, including evenings and weekends as needed
  • Ability to work 100% onsite in Dallas office
