Job Description

Department: Operations

Reports to: Studio Owner

Hours/week: 35-40 - M-Th in-studio required 1:00-8:00 pm, possibility of 3-4 hours on Saturdays. Depending on skill set, teaching hours may be included in weekly hour total.

Salary: $45,000-$50,000/year, based upon previous experience.

Job Description:

As the Studio Manager, this person is responsible for building operations, studio operations, administration, assisting the Studio Owner and customer relations. This person will work closely with all members of staff and will be considered the first line of contact for any ASA customers. This key role supports the Studio Owner in leadership roles, the growth of the studio as a whole, and helping to keep a positive culture among staff and families.

The Studio Manager may have additional hours/week as a teacher or choreographer. The Studio Manager is not required to attend competitions/events unless specifically requested by the Owner, but must be in attendance for all studio wide events such as Open House, Recital, etc.

Job Tasks/Responsibilities: The studio manager’s tasks/responsibilities may include the following items and will have additional tasks added as needed by the studio owner/studio needs.

  1. Be a clear example of maintaining studio values and professionalism at all times
  2. Assist in First Impressions
  3. Greet families and dancers
  4. Maintain studio looking professional & clean - Hourly studio checks
  5. Assist in facilities management
  6. Assist with daily cleaning - vacuum, trash removal, front desk cleaning/organization, dressing rooms,etc .
  7. Stock supplies/materials (water deliveries, etc)
  8. Keep marketing materials full and organized
  9. Be well versed in studio programs and offerings
  10. Assist with updating business programs, processes, plans, and events, as needed
  11. Assist in Customer Service
  12. Greet and consult new families appropriately 
  13. Greet and friendly talk with current parents and dancers
  14. Assist in maintaining primary email account
  15. Manage voicemails/call backs or route appropriately
  16. Answer daily questions from dancers/parents
  17. Answer incoming calls and answer/route appropriately
  18. Track prospective students through onboarding process
  19. Complete registration process for new and returning families.
  20. Be knowledgeable of studio software
  21. Keep student information up-to-date and organized, including updated waivers
  22. Accounts Receivables
  23. Tuition updates, tracking, charges, and scheduling auto-pay
  24. Collections
  25. Update & send email notices as needed
  26. Enter invoices with due dates
  27. Track and charge late fees
  28. Manage and track payments for private lessons
  29. Email Management
  30. Respond efficiently to all emails to ASA email account/Forward to other staff as necessary
  31. Maintain organized distribution lists in studio software
  32. Communicate studio closings, emergency or otherwise, with students and staff
  33. Create, update, and schedule emails
  34. Monthly newsletters, Holiday closing reminders, Event reminders, payment reminders, Onboarding sequences, 9-word emails//inactive emails, etc
  35. Studio Software Operations, Maintenance & Organization
  36. Update yearly with waivers, dates, email sequences, etc
  37. Enter class information with appropriate cost, dates, etc
  38. Track retention among returning students in software - reach outs as needed
  39. Track class attendance - reach out as necessary
  40. Process/schedule/track student drops
  41. Assist in Schedule & Calendar Creation, Organization, and Updating
  42. Assist in class needs and schedule creation/organization
  43. Enter: holidays, studio dates, competition/event dates, trial classes, sub dates, staff meetings, etc. into studio calendar
  44. Share with staff
  45. Create and/or update studio at-a-glance calendar 
  46. Include needed social media reminders
  47. Event preparations 
  48. Studio planning preparations
  49. Assist in giveaway planning for BAFWs and special events
  50. Assist in tracking sub hours
  51. Upload/update any necessary Google Drive documents, spreadsheets, etc. 
  52. Keep Google Drive items well organized 
  53. Assist with staff meeting agendas and leading staff meetings as needed
  54. Office supply and general inventory
  55. Maintain office materials
  56. Maintain general inventory/bathroom inventory
  57. Maintain class prop needs
  58. Facilitate Quill, Nestle Water, etc. orders and deliveries
  59. Manage store inventory
  60. Monitor & prepare incoming store orders
  61. Update inventory
  62. Keep displays organized
  63. Gather and order sizes/quantities of special event merch
  64. Assist in planning, communicating, and facilitating merch sales
  65. Size dancers for shoes, tights, leotards as needed
  66. Oversee and train any administrative employees or help
  67. Assist with administrative aspects of performance and event planning
  68. Manage recital sign up and payments
  69. Size students for costumes
  70. Place costume orders
  71. Inventory
  72. Schedule and facilitate costume distribution
  73. Gather and organize music files
  74. Create performance programs
  75. Volunteer logistics
