Exciting Opportunity: Executive Assistant for Prestigious Music & Entertainment Company

Our client, a prestigious music and entertainment company, is seeking a skilled Executive Assistant to support two C-suite executives. This is an excellent opportunity for a bilingual (Japanese-speaking and writing) professional who thrives in a fast-paced, global environment. The role is onsite daily in Los Angeles, offering the chance to be directly involved in a dynamic and exciting industry. You’ll provide essential administrative support, facilitate communication with Japanese-speaking stakeholders, and ensure smooth operations across a variety of responsibilities. Role Overview:

The Executive Assistant will provide high-level administrative support to the C-suite executives. This role requires someone who is bilingual in Japanese (speaking and writing), proactive, and capable of managing communication in a fast-paced, global setting. You will be entrusted with various responsibilities, including facilitating international communication, managing executive schedules, assisting with travel, and helping ensure the seamless execution of daily operations.

Key Responsibilities:

  • Provide daily administrative support to the C-suite executives.
  • Translate during meetings with Japanese-speaking stakeholders.
  • Facilitate communication with international partners, particularly in Japan.
  • Assist with travel arrangements for the C-suite executives
  • Attend artist-related sessions and assist with coordination.
  • Occasionally assist with Personal Assistant (PA) duties in addition to Executive Assistant responsibilities (note: the role primarily focuses on EA tasks).
  • Manage calendar appointments and efficiently coordinate meetings.
  • Arrange travel bookings and create detailed itineraries.
  • Serve as a liaison between various teams.
  • Participate in business meetings, actively listen, and document key points and action items.
  • Handle calls and manage high volumes of phone traffic.
  • Prepare and submit expense reports.
  • Manage special projects as necessary.

Qualifications:

  • Bilingual in Japanese (speaking and writing).
  • Music industry experience is ideal, but we are open to candidates from other relevant industries.
  • Ability to thrive in a fast-paced, dynamic environment.
  • Strong ability to work independently with minimal supervision.
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Flexibility to work extended hours and occasional overtime.
  • Exceptional organizational skills and attention to detail.
  • Experience coordinating business and personal calendars.
  • Strong communication skills, both written and verbal.
  • High level of discretion and judgment.
  • Ability to handle confidential information with care.
  • Proven track record of managing multiple projects and meeting deadlines.

Salary:

$60K - $95K base
